Warranty Claims Processing

Our warranty claims processing services are efficient & secure, and we provide multiple ways for you to get your claims to us. Our procedures offer many benefits, such as fixed cost, and ensuring we are working for you, as we don’t get paid unless you do!

Send Claims To RS&A, Inc.

RS&A, Inc. has many ways to receive claims for processing without the original hard and/or soft copies ever leaving your dealership: Utilizing electronic media eliminates shipping time and cost and assures a faster turnaround of claims and payment. We highly recommend you send claims daily.

Electronic Repair Orders:

Send us a daily list of warranty repair orders that are ready for processing. Our team will securely log into your DMS to access the required information, accurately code and key each claim, and submit it to the manufacturer for payment.
Repair Orders can be easily scanned into PDF format and sent to Randy Shepard & Associates, Inc. using one of two secure methods. You may email your scanned Repair Orders directly to us, or we can install a secure upload drop box on a PC at your dealership for fast, convenient file transfers. Once your warranty claims are received, they are immediately logged into our database and placed in a queue for processing. Claims are processed in the order received and promptly submitted to the manufacturer to help ensure faster turnaround and quicker payment.

Tech Documentation
Clock Punches
Customer Signatures
Pre-invoice / Accounting Copy (Parts #’s, Cost & Quantity)
Anything Supportive To Claim (Sublets, Rentals, battery readings etc…)
Vehicle history
Quick turnaround of your warranty claims, reducing your receivables and increasing your working capital. Turnaround time is 24 to 48 hours.

Coding Department

Identify & apply proper labor ops
Identify & apply proper failure and concern codes
Verify tech documentation (3 c’s)
Review parts info
Verify management approvals for necessary straight-time, add-ons, goodwill etc…
We do a review of every claim for manufacturer compliance – Coders are up to date on all policies and procedures
If a claim requires additional information, we will contact your dealership and wait for the correction before submitting

Data Entry Department

Will connect into your existing DMS (R&R, CDK, DealerTrack, Automate, Tekion, Autosoft, DealerBuilt etc…)
Verify proper payment for technician
Keypunch the claim information to your specific manufacturer
Completely close the claim
Download the claim to the Manufacturer
Automatically resubmit if a claim happens to reject
Full review of the daily registers to verify full payment has been received
